Creating Custom HTML templates for Emails is available in Salesforce Lightning and Classic Experience. In order to know how to create an email template in Salesforce you will need to be aware that it is available in all the Editions with the exemption of Database.com. Mass email is unavailable for Group, Contact Manager and Personal Editions. Visualforce and email HTML templates are unavailable in the Personal Edition. User permissions are required for:

How to create an email template in Salesforce
Here is the procedure on how to create an email template in Salesforce;
- You will need to choose between:
- If you have access to edit the public templates, select ‘Setup’, select ‘Email Templates’ in the ‘Quick Find box’, then opt for ‘Email Templates’.
- If you have no access for editing the public templates, select ‘personal settings’. You will enter ‘Templates’ in ‘Quick Find box’, select ‘Email Templates’ or alternatively ‘My Templates’—the one that appears.
- Select ‘New Template’.
- Select ‘Custom (without using Letterhead)’ and select ‘Next’.
- Select the folder where you will save template.
- Select the checkbox ‘Available for Use’ if you would prefer for the template to be available to users when they are sending emails.
- Select the ‘Email Template Name’ and enter the details.
- Where it is a necessity, alter the ‘Template Unique Name’. This is the name that is unique and which refers to the Force.com API component. In packages that are managed, the unique name prevents conflicts in naming on package installations. The name may contain alphanumeric characters and underscores only, and should be unique to your firm. It should have no spaces and needs to begin with an alphabetical letter, should not have an underscore in the end, and avoid use of two underscores that are consecutive. The ‘Template Unique Name’ allows a developer to alter certain name components in a package that is managed and the alterations are reflected in a user’s organization.
- Select ‘Encoding setting’ for determining the template character set.
- Enter the template description. Both the description and template name are for your use within the organization only. The description is the email activities title when you are sending mass email.
- Select ‘Next’.
- Enter the ‘Subject’ which will appear in all outgoing email.
- Enter the ‘HTML source text’ which will appear in the outgoing message. This should be inclusive of all HTML tags.
- Alternatively, enter ‘merge fields’ in the body and subject template. These fields are replaced with data from your case, lead, account, contact, opportunity, or solution when sending an email.
- Select ‘Next’.
- Alternatively, enter ‘text-only’ email version or select ‘Copy text’ from the HTML version to instantaneously paste text from the HTML version and with no HTML tags. The version that is text-only is available to your email recipients who are not able to view the HTML emails.
- Select ‘Save’.
- Select the ‘Send Test and Verify Merge Fields’ in order to view a template sample containing data from information you choose and then send an email as a test. When you follow these simple steps you will realize how to create an email template on Salesforce is easy.
